Advanced Shipment Notifications

Advanced Shipment Notifications (ASNs) are electronic documents sent by a supplier before goods arrive, informing the recipient of what is being shipped, how, and when. Knosc creates and transmits ASNs both automatically and manually.

Creating ASNs

Automatically

ASNs are generated automatically by the system when the configured shipment conditions are met (gateway stage transition, BOL entry, or equivalent trigger depending on your integration setup). No manual action is required for the standard flow.

Manually

  1. Click New in the toolbar
  2. Populate all mandatory fields: Supplier, Customer, Ship To, Ship Date, ETA Date, and at least one line item
  3. Click Save
  4. Click Send ASNs to transmit immediately, or wait for the next scheduled run

Sending Pending ASNs

Click Send ASNs in the toolbar to immediately transmit all ASNs with status Not Sent to their respective customers. This triggers the integration job on demand without waiting for the next scheduled execution.


Header Columns

Column Description
ASN Number System-generated unique reference for the ASN
Supplier Supplier (your organisation) dispatching the goods
Customer ID Customer's identifier in the customer master
Customer Name Customer receiving the shipment
Ship To Number Customer delivery location code
Ship To Name Customer delivery location name
Creation Date Date the ASN was created in Knosc
Ship Date Date goods were dispatched from your facility
ETA Date Expected arrival date at the customer
Item Count Number of distinct items on the ASN
Status Current transmission status (see below)
Schedule Agreement ID Reference to the applicable delivery schedule
Agreement ID Contract or agreement identifier

ASN Status Values

Status Meaning
Not Sent ASN created but not yet transmitted
Sent Successfully transmitted to the customer
Accepted Customer has acknowledged receipt
Error Transmission failed - check Notifications for details

Line-Level Columns

Column Description
Parent Line Number Parent line reference for grouped shipments
Line Number Sequential line identifier within the ASN
Buyer Part ID Customer's item reference number
Item Number Internal item code
Item Description Item name
Sub Item Number Component or variant code
External Item Number Item number as known to the customer's system
Quantity Shipped Quantity included in this shipment
Quantity Ordered Original quantity from the associated order
Unit of Measure Unit used for quantity fields
ASN Details Status Line-level transmission status

Expanding ASN Lines

Click the + icon on a parent ASN row to expand and view all item-level details for that shipment.


Error Resolution

ASN errors appear in Notifications → Integration → ASN with the specific failure reason.

Error Cause Resolution
Unknown ship-to Ship-to not in Customer Master Add the address to the Customer Master
Missing schedule agreement Agreement ID not found Add the allocation record or remove the agreement reference
Transmission failure Network or credential issue Check integration settings
Duplicate ASN ASN already exists for this order line Review existing ASNs for the order
